How to apply for an AIS Event Grant

This is a guide for Registered Student Organizations (RSOs) to apply for either for an RSO Event Grant or an RSO Collaborative Event Grant.

For the purpose of this guide, the terms “we”, “our” and “us” refer to AIS. “You” and “your” refer to the RSO seeking funding from AIS.

 

 

  • Do I qualify for an AIS Event Grant?

You are eligible for funding if any of the following criteria applies to you:

  • You have already received an ASM Event Grant this semester

  • You have already applied for an ASM Event Grant this semester AND is on the waitlist for an ASM hearing

  • You are seeking funding ONLY for something ASM cannot fund (usually food)

  • ASM is out of funds for the academic year

Otherwise, you are ineligible for our funding.

 

  • Where do I apply?

Download the AIS Grant Proposal document from http://aiswiscorg.wix.com/uwmadison. Complete it and send it to ais@studentlife.wisc.edu.

 

  • Is there a deadline for me to submit my application?

We must receive your application at least four weeks before the date of your event. Otherwise,
we reserve the right to reject your application.

 

  • What should I keep in mind when completing the application?

  • List every item, where applicable, with a quantity, unit price, seller/vendor name and contact details, date of purchase, and time of delivery.

  • If there is any online purchase, please include related links, shipping fee, and make sure delivery will be made before the event date.

  • There are specific items we do not fund. A non-exhaustive list of them is available in our funding policy. If you are unsure whether an item will be funded, seek clarification and approval from our Finance Committee representative.

  • We will not reimburse any payments made by RSOs.

  • We fund exclusively by credit card and cannot offer any other forms of payment. Ensure your vendor can be paid through credit card.

  • We can provide disposable cutlery and tableware at no charge. Include specific quantities of every item you need in the application to AIS.

 

  • What next after submission?

Within three days, you will receive a confirmation email to acknowledge your submission.

Within one week, our Finance Committee representative will be in touch. We may ask for more details, request a revised application, or issue a final decision on your application.

Please note that before you receive an email from us titled “Funding Decision”, you should not assume that your application has been accepted.

 

  • My application has been accepted! What next?

Congratulations! We will inform you in the days leading up to your event where and when you can collect your items (if any).

After your event, be sure to send us scanned invoices, event agenda, and an attendee list within one week.
