FUNDING POLICY

 

Grant applicant must be a current RSO or individual working in conjunction with AIS.

 

Only an RSO is eligible to apply for funding to hold an event under its name.

 

Any individuals wishing to hold an event and get financial support from AIS may propose to AIS Events Department:

  1. In that case, such an event will be held under AIS’ name and must bear educational values or be educational in nature, i.e. not aimed toward social purposes, e.g. bowling night, laser tag.

  2. One or more AIS committee members will be supervising and/or actively involved in the planning of the event.

 

Three types of grant are available:

 

  1. Individual/Event Grant                                                       *Individuals that work in conjunction with AIS                     

  2. RSO Event Grant

  3. RSOs Collaborative Event Grant

 

Qualification:

  1. An RSO is eligible for an AIS Grant if one of the following condition met:

  • Already received an ASM Event Grant that semester.

  • Already applied for an ASM Event Grant that semester and is on the waitlist for hearing.

  • Already applied for an ASM Event Grant that semester and is rejected.

 

2.   Student Organizations Collaborative Event:

  • Involves two or more RSOs, and;

  • Has an expected attendance of at least 100.

 

3.   Any proposed event that falls short of the qualification above will be considered as a Student Organization Event.

 

Grant application procedure:

  • Applicant must firstly prove that “Qualification a” (see above) has been satisfied.

  • Applicant must fill out a formal application form issued by AIS.

  • Application form is to be submitted at least 4 weeks prior to the date of the event. Failure to fulfill this requirement might result in an unsuccessful application.

 

In order for its application to be considered, applicant must be able to demonstrate:

  1. The educational purposes of the proposed event, and/or;

  2. How it can benefit the target participants and/or the campus community in general.

  3. The purpose of the event fits the mission and vision of AIS.

  4. The event is free admission to public.

 

Events that fall under any of these categories will not be funded:

  1. Discriminative on the basis of gender, religion, race, or sexual orientation.

  2. Affiliated to a political party.

  3. Posing significant physical, mental, and/or spiritual risks to the participants.

  4. Not inclusive of the campus community.

  5. Violating the university’s Student Code of Conduct policy.

  6. Involving drugs and/or alcohol.

  7. Revenue-generating.

 

Items listed below cannot be funded:

  1. Expenses that occur prior to the approval of the grant application.

  2. Honorarium, salaries, stipends, or wages, and/or other types of compensation.

  3. Accommodations.

  4. Home-cooked food.

  5. Major equipment purchases.

  6. Movie licensing.

  7. Subsidization of members’ dues.

  8. Donation and financial aid.

  9. Legal services

  10. Transportation to/from an event not hosted by the applicant

 

There exist different funding caps for Registered Student Organization Event (Single RSO), Registered Student Organizations Collaborative Event (SCE) and Collaboration with AIS on categories listed below:

 

 

 

 

 

 

 

 

 

  •  Successful applicant is ONLY permitted to use AIS funds for the intended purpose as approved. Failure to comply with this provision might result in disqualification of approved and future applications until the end of the semester as well as other punitive measure seen fit by AIS committee board.

 

  • Successful applicant is required to acknowledge AIS as their sponsor by incorporating AIS logo in their promotional materials. AIS committee board will review such materials to enforce this provision.

  • Successful applicant is required to provide itemized invoice in order for AIS to proceed your payment.

 

  • Post-event, AIS grantee is required to:Submit an evaluation report detailing:

  1. The event’s quality and measures of success, and;

  2. The actual expenses incurred.

  3. The receipts that are delivered to the RSO.

  4. Funds not expanded return to AIS.

 

  • Grant is provided on a first-come-first-serve basis. AIS will accept grant applications until the funds have been exhausted.

 

  • The right to decision-making on all grant applications is reserved exclusively for the AIS committee board under the advisory of AIS Advisor and International Student Service (ISS).

 

  • This funding policy is subject to change without prior notice.
